Church Administrative Assistant Job Description – Maternity Leave – Part Time

Position Description

The church administrative assistant would work alongside church leaders and pastors, aiding the general organization and running of the church. The Administrative Assistant would also be responsible for attending to the long and short term business dealings with the church.

Day-to-Day Responsibilities

  • Assist and work with church staff and volunteers in a cooperative manner
  • Screening calls and routing them to the correct department or person
  • Develop and maintain a comprehensive list of attendees, members, and their contact information, while keeping such information confidential. Enter new visitor information into the database, marking attendance, sending notices, and acknowledges important dates and events
  • Respond to all mail correspondences, including letters to ailing parishioners, those who have gone through times of grief, or otherwise difficult times
  • Maintain an orderly and clean office and filing system
  • See to the proper maintenance of the photocopier
  • Coordinate with existing platforms that communicate church announcements
  • Publish the church bulletin with notices for anniversaries, weddings, and major events
  • Maintains the church website
  • Answer requests for information and completes corresponding paperwork
  • Oversees staff files and maintains confidentiality on all information contained therein
  • Manages office supplies, tracks inventory, and makes purchases as needed

Required Knowledge, Skills, and Abilities

  • Works at a fast pace and meets weekly deadline
  • Self-starter with an innovative approach to administration and a good eye for detail
  • Committed to the church’s mission and message
  • Courteous and tactful with church parishioners, especially in times of grief and crises
  • Exercise exceptional judgment when dealing with sensitive and personal issues
  • Prioritize concerns without much guidance
  • Comfortable working with technology
  • Effective communication skills, both verbally and in writing

Education and Experience

  • High school diploma or GED equivalent. Post-secondary education would be an asset.
  • Two years of clerical or admin experience.

Work Environment

  • Time is spent in a church office, divided between clerical duties and attending to parishioners’ needs. Must be able to multi-task and meet weekly duties.
  • Must be able to attend regular services and some special events.
  • Take meeting minutes during council meetings.
